Privacy Policy

How we collect, use, and protect your information.

Effective Date: September 16, 2026 Last Updated: September 30, 2026

Tri-Star Healthcare Solutions ("Tri-Star," "we," "us," or "our") provides medical billing, medical coding, revenue cycle management, and related health information management services to healthcare providers and organizations. This Privacy Policy explains how we collect, use, share, and protect information gathered through our public website located at www.tristarhcs.com (the "Website") and through our business text messaging (SMS/MMS) communications.

By accessing or using the Website, or by communicating with us by text message, you acknowledge that you have read and understood this Privacy Policy. If you do not agree with the practices described here, please do not use the Website.

1. Introduction

This Privacy Policy applies to information collected through the Website — for example, information submitted through our online contact form — to the general operation of the Website itself, and to the business-to-business SMS/MMS communications described in Sections 6 through 8 and in our SMS Terms & Conditions. It does not apply to information Tri-Star may collect, access, process, or store on behalf of its healthcare-provider clients while performing contracted billing, coding, or health information management services. That information is subject to separate contractual, security, and privacy obligations agreed to directly with our clients, as described further in Section 2 below.

2. Scope of This Policy: Public Website vs. Contracted Healthcare Services

The Website is a business and marketing website. It is designed to provide general information about Tri-Star and our services and to allow prospective clients and other visitors to contact us. The Website is not a patient portal, electronic medical record system, or repository for patient medical records, and it is not intended to be used to submit, store, or transmit protected health information (PHI) or other sensitive patient data.

When Tri-Star provides contracted medical billing, coding, and revenue cycle services to a healthcare provider client, information relating to that engagement — including any PHI — is handled through separate, dedicated systems and processes governed by the applicable services agreement and, where applicable, a business associate agreement, and not through the public Website or our SMS/MMS communications. This Privacy Policy does not describe those separate arrangements.

Important: Please do not submit patient medical records, protected health information, Social Security numbers, financial account credentials, passwords, or other highly sensitive information through the Website's contact form or by text message. If Tri-Star has instructed you to send information through a designated secure channel as part of an existing or prospective client relationship, please use that channel instead.

3. Information We Collect

We collect information in the following ways:

Information You Provide Directly

When you contact us through the Website, by email, by phone, or by text message, we collect the information you choose to provide, as described in Section 4 below.

Business Contact Information Used for SMS/MMS Communications

When we communicate with business contacts by text message, we may collect and maintain:

  • The business contact's name, job role, and organization
  • The phone number used to send and receive messages
  • The content of messages sent and received, and the date and time of each message
  • Records of communication preferences, including opt-out requests and any SMS consent records

Information Collected Automatically

As with most websites, our web hosting and infrastructure providers may automatically log certain technical information when you visit the Website, such as your IP address, browser and device type, operating system, referring page, and the date and time of access. This information is generally used only for website security, troubleshooting, and understanding general traffic patterns, and is not used to create individualized marketing profiles of visitors.

4. Information Provided Through Contact Forms

When you voluntarily submit our contact form, we may collect:

  • Your full name
  • Your email address
  • Your telephone number
  • Your organization or company name
  • The service or area of interest you select
  • The contents of your message or inquiry
  • Your acknowledgment of our Terms of Service and Privacy Policy
  • Any other information you choose to include in your submission

The contact form is processed using FormBackend, a third-party form-processing service. When you submit the contact form, the information you enter is transmitted to and processed by FormBackend on our behalf so that we can receive and respond to your message. Providing a telephone number through the contact form allows us to respond to your inquiry; it does not, by itself, enroll you in text message communications.

5. How We Use Information

We use the information described above for legitimate business purposes, including to:

  • Respond to your inquiry or request for information
  • Communicate with prospective clients and business contacts about our services, including by text message as described in Section 6
  • Evaluate and follow up on business inquiries
  • Honor SMS opt-out requests and maintain records of communication preferences
  • Maintain, secure, and improve the functionality of the Website
  • Detect, prevent, and address fraud, abuse, security incidents, or technical issues
  • Comply with applicable legal obligations
  • Operate and manage our business generally

We do not use information submitted through the Website to make automated decisions that produce legal or similarly significant effects concerning you.

6. SMS/MMS Communications

Tri-Star uses SMS and MMS text messaging primarily for business-to-business communication with business contacts at healthcare agencies, medical practices, and other healthcare-related organizations. These messages may introduce Tri-Star and the medical coding and billing services we provide, ask whether an organization has a need for those services, share information about our services and occasional promotional offers, respond to calls, messages, or inquiries initiated with Tri-Star, and, where an organization expresses interest, continue the conversation regarding a potential business relationship. Our SMS/MMS messages are not intended for consumers or for personal, family, household, or other unrelated purposes.

Text messages are sent and received through a third-party business communications platform that processes messages on our behalf. Additional details about our text messaging program, including message frequency, rates, and help information, are provided in our SMS Terms & Conditions.

7. SMS Consent and Opt-Out

Consent to receive text messages from Tri-Star is not a condition of purchasing any service. You may opt out of receiving SMS/MMS messages from Tri-Star at any time by:

  • Replying STOP to any text message you receive from us; or
  • Contacting us at info@tristarhcs.com or +1 (626) 246-6479 and asking to be removed from text communications.

After you opt out, you may receive one final message confirming your request, and we will not send further text messages to that number unless you reply UNSTOP or otherwise ask us to resume. For help, reply HELP to any message or contact us using the information in Section 19. Message and data rates may apply.

8. SMS/MMS Opt-In Data and No-Sharing

We do not sell, rent, or share your mobile information or SMS/MMS opt-in data with third parties or affiliates for their marketing or promotional purposes.

Text messaging originator opt-in data and consent — including your phone number, your consent to receive text messages, and related records — will not be sold, rented, or shared with any third party for any purpose unrelated to delivering our communications with you. The only parties that receive this information are service providers, such as our messaging platform provider, that process it solely on our behalf to send, receive, and manage our text messages, and only to the extent necessary to provide that service, or where disclosure is required by law. The categories of information sharing described in Section 9 below do not apply to SMS/MMS opt-in data and consent.

9. Information Sharing and Disclosure

We do not sell the personal information of Website visitors or business contacts. Subject to Section 8 above, we may share information with:

  • Service providers who help us operate the Website or our business (such as our form-processing, hosting, and business communications providers), acting on our behalf and under instructions from us
  • Parties as necessary to respond to your specific request or inquiry
  • Regulators, law enforcement, or other parties when required to comply with applicable law, legal process, or governmental request
  • Third parties as necessary to protect the rights, safety, security, or property of Tri-Star, our clients, our visitors, or the public
  • A successor entity in connection with a merger, acquisition, financing, or sale of business assets, where permitted by law

Sale or Sharing of Personal Information

Tri-Star does not sell personal information, and does not share personal information for cross-context behavioral advertising, as those terms are defined under the California Consumer Privacy Act (CCPA), as amended by the California Privacy Rights Act (CPRA). We do not operate any advertising network or exchange that would involve such sharing.

10. Cookies and Website Technologies

The Website does not currently use non-essential cookies, third-party advertising technologies, analytics tracking pixels, or session-recording tools. The Website loads its fonts from Google Fonts, which means your browser connects to Google's servers to retrieve font files when you view a page. If our use of website technologies changes in the future, we will update this Privacy Policy to accurately describe any such technologies in use.

11. Data Security

We use reasonable administrative, technical, and organizational safeguards designed to protect information submitted through the Website or collected through our business communications from unauthorized access, use, or disclosure, appropriate to the nature of that information. However, no method of transmission over the internet or by text message, and no method of electronic storage, is completely secure, and we cannot guarantee absolute security. We do not claim any specific third-party security certification for the Website.

12. Data Retention

We retain information only for as long as reasonably necessary to fulfill the purposes described in this Privacy Policy, including to respond to your inquiry, maintain appropriate business records, meet legal or regulatory obligations, resolve disputes, and enforce our agreements. We retain records of SMS opt-out requests for as long as needed to ensure we continue to honor them. When information is no longer needed for these purposes, we take reasonable steps to delete or de-identify it.

13. Third-Party Services and Links

We rely on a limited number of third-party service providers to operate the Website and our communications, including our website hosting provider, FormBackend (contact form processing), Google Fonts (website fonts), and a business communications platform (calls and text messaging). Each provider's handling of data is subject to its own privacy and security practices. We do not control, and are not responsible for, the internal data-handling practices of third-party service providers, though we select providers we believe maintain reasonable safeguards.

The Website may also contain links to third-party websites that are not owned or controlled by Tri-Star. This Privacy Policy does not apply to those third-party sites, and we are not responsible for their content or privacy practices. We encourage you to review the privacy policy of any third-party site you visit.

14. Your Privacy Rights

Depending on where you reside and whether a particular privacy law applies to our processing, you may have rights regarding your personal information, such as the right to request access to, correction of, or deletion of personal information we hold about you. You may also opt out of our text messages at any time as described in Section 7. To make a privacy request, please contact us using the information in Section 19, and we will respond as required by applicable law.

15. California Privacy Considerations (CCPA/CPRA)

Because Tri-Star is based in California, this section addresses privacy rights that may be available to California residents under the CCPA, as amended by the CPRA, to the extent those laws apply to our collection and use of personal information. Depending on your circumstances and whether the CCPA applies to our processing, you may have the right to:

  • Know/Access — request that we disclose the categories and, where applicable, specific pieces of personal information we have collected about you and how it has been used and disclosed
  • Delete — request that we delete personal information we have collected from you, subject to certain legal exceptions
  • Correct — request that we correct inaccurate personal information we maintain about you
  • Opt Out of Sale or Sharing — as noted in Section 9, we do not currently sell or share personal information for cross-context behavioral advertising; if that changes, we will provide a mechanism to opt out
  • Limit Use of Sensitive Personal Information — request that we limit the use or disclosure of sensitive personal information, to the extent applicable to our processing
  • Non-Discrimination — we will not discriminate against you for exercising any privacy rights available to you under applicable law

Not every right described above will necessarily apply in every circumstance, and eligibility depends on facts specific to each request and to applicable law.

How to Exercise Your California Privacy Rights

To submit a request regarding your California privacy rights, please contact us at info@tristarhcs.com or call +1 (626) 246-6479. Please describe your request with enough detail for us to understand and evaluate it. We may need to verify your identity before completing certain requests, which may require you to provide additional information to confirm you are the person about whom we collected information, or an authorized agent acting on their behalf.

Authorized Agents

You may designate an authorized agent to submit a privacy request on your behalf. To do so, the authorized agent should contact us using the information above and provide documentation showing they have been authorized to act on your behalf. We may also require you to separately verify your own identity or confirm the agent's authority directly with us.

Verification and Response

Where applicable law requires us to act on a privacy request, we will take reasonable steps to verify the identity of the person making the request before responding, and we will respond within the timeframes required by applicable law. If we are unable to verify a request, or if an exception applies, we will explain the basis for our response.

16. Other U.S. State Privacy Rights

Depending on where you reside, you may have additional privacy rights under other U.S. state privacy laws. If you are a resident of a state with applicable privacy legislation and wish to exercise rights available to you, please contact us using the information in Section 19 and we will respond as required by applicable law.

17. Children's Privacy

The Website and our text messaging communications are directed to businesses and healthcare organizations and are not directed to children. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us using the information in Section 19 so we can address it.

18. Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in our practices or for other operational, legal, or regulatory reasons. When we do, we will post the revised version on this page and update the "Last Updated" date above. We encourage you to review this page periodically.
